An introduction to KSA Writing

Contrary to the private sector where a simple resume and cover letter would do the trick, the Federal government requires specific documents if you want to apply to a job with Uncle Sam. Not only will you need to provide a resume in a Federal format but you will also need to to master KSA writing as mini-essays will be requested along with your resume.

KSA Writing format

Standing for knowledge skills and abilities, KSA's will show government recruiters how fit you are for the job. KSA Writing follows specific rules establisged by the government: Written in the first person, these essays should sound both professional and from your own voice. Elements such as experience, education, honors, voluntary work can be included as long as they're related to the KSA questions and job requirements.

Meeting SQA factors

Candidates should be above job announcements' minimum educational and experience requirements - or selective factors - to be eligible for a Federal position. However, with some good KSA writing, you can get a higher grade if you meet or exceed quality ranking factors, which will demonstrate that you are a good match for the job.

How are KSA's graded

KSA answers are rated with a scoring system, which usually goes from 1 to 10, the higher score being obviously the better.

KSA's usually answer to 3 to 10 questions that aim at showcasing what a great fit you are for the Federal job opening.

Your KSA's should include the following elements, as long as they show that you meet and exceed the requirements and factors listed in the government announcement:

  • Education
  • Training
  • Experience
  • Awards
  • Volunteer work, activities, etc..

KSA questions can vary in themes, from your organizational skills, to your supervisory skills and the ability to use computer software.

4 essential KSA writing steps

1. Review the Job opening. Be sure to pay attention to any details. Also make sure that you understand the listing before you begin writing your response otherwise you will not be able to provide the right information to the recruiter.

2. Brainstorming. This is when you come up with your abilities related to the announcement. Writing good KSA statements requires that you relate ANY experience that you have that is related to the position you seek. This includes actual work experience, certifications acquired, or skills that you got through non-work related activities. Don’t limit yourself to your work history here; as long as it’s relevant, it does not have to be work related. For instance, if the KSA statement asks for management skills, it does not matter if you worked as a manager previously or if you simply managed a youth group at church. They are relevant and should be listed.

3. Breaking it down. Now that you found all of your abilities, you need to examine them and reflect on how they were used in your jobs. The questions you should ask yourself are: use of job skills, supervision (if any), team player abilities, difficulty of your job, guidelines you follow, etc ... When answering these KSA points, you simply need to focus on who, what, where, when, why, and how of they come up with the answers you need. These answers will eventually become your KSA answers.

4. Writing the KSA. When you finally write your KSA’s, you need to be very clear and clear in your answers. You need to showcase, in your writing, how the skills, abilities, and knowledge you have relate to the vacancy announcement. Do not assume that the person reading your answers will be able to make the connections; instead, make the connection for them.

During the KSA review, your response will be graded on content, not style, so as long as you are getting your point across, it doesn’t matter what your style is. KSA statements are generally limited to less than a page; longer responses won’t impress recruiters. Avoid complex sentences and technical jargon. If someone can’t understand what you’re writing, they probably won’t hire you, no matter how good you are.

Veterans' preference

Veterans' preference is a program wherein veterans who have earned a general discharge will receive either a five or ten point privilege.
 
Veterans should say on the resume that they are entitled to and are claiming veteran's preference when applying to government jobs. With the 5-point preference, there will be 5 points added to the examination score if they served on active duty.
 
If a veteran served during a campaign for which a medal has been authorized, it also sets a standard for eligibility. During the Gulf War, any soldier who was on active duty is qualified regardless of where the active duty occurred.
 
To be eligible for the ten point preference, a veteran must have served and gotten injured or received a purple heart. Also, a spouse of a deceased veteran or the mother of a veteran who became totally disabled are eligible.
 
Students who have veteran's preference are given priority over students that are equally qualified. The preference establishes a method by which consideration is given to veterans over other applicants for the same position. All eligibility requirements for any person applying for veterans benefits are the same. The same standards apply for students and non-students.
 
The VetGuide on the Bureau of Land Management's website states that eligible veterans receive preference in excepted service appointments and may be thought of for special noncompetitive appointments and merit promotion announcements. Once employed, the veteran's preference does not apply to other positions within the same organization.
